The Business Loan Document Checklist Lenders Really Use

Business loan applications rarely fail on the business. They stall on documentation — a mismatch between the ITR and the bank statement, a GST return that does not tie to declared sales, an address proof that expired. Getting the file right first time is most of the work.

The standard set

  • KYC: PAN and Aadhaar of all proprietors, partners or directors.
  • Business proof: GST registration, Udyam/MSME certificate, shop and establishment licence, or the partnership deed / MOA and AOA.
  • Financials: ITR with computation for the last two to three years, plus audited P&L and balance sheet where applicable.
  • Banking: 6 to 12 months of current account statements for every account the business operates.
  • GST returns: usually the last 12 months of GSTR-3B.
  • Existing loans: sanction letters and repayment track for anything already running.

The three that actually decide it

Bank statements. The most-read document in the file, and it is read for behaviour rather than balance. Credits arriving steadily across the month reassure; everything landing on one day looks like rotation. Cheque returns for insufficient funds are the fastest way to a decline — a single one in six months can end the conversation.

GST returns against banking. Underwriters compare declared turnover with actual credits. If GSTR-3B shows ₹4 crore and the account shows ₹1.5 crore, you will be asked why. There are legitimate answers — cash sales, multiple accounts, receivables. Have them ready with evidence.

The ITR computation, not just the acknowledgement. People submit the one-page acknowledgement and wonder about the delay. The computation sheet shows how profit was arrived at, and that is what gets assessed.

Mistakes that cost weeks

  • Submitting one account when you run three. Lenders find the others, and an omission looks worse than a weak account.
  • A dormant GST registration. Nil returns for several months reads as a business that stopped trading.
  • Mixed personal and business banking. Salary, rent and school fees running through the current account makes it near-impossible to assess cash flow. Separate them well before you apply.
  • Round-figure cash deposits. Frequent large round deposits invite questions you may not enjoy answering.

If the paperwork is thin

Businesses without audited financials are not shut out. Some lenders assess on banking alone, at a higher rate. Working capital limits against receivables or stock are often easier to place than a term loan. And a loan against property shifts the assessment onto the asset, which is the usual route when documentation cannot support an unsecured file.
